Privacy Policy

At MyLevelBid, we are committed to protecting your privacy and safeguarding the information entrusted to us. This Privacy Policy explains how we collect, use, store, and protect your information when you access our website, platform, or services. Our goal is simple: your project data remains your data.
Information we collect
Account information. When you create an account or request a demonstration, we may collect your name, company name, business email address, telephone number, job title, and billing information (where applicable). Your password is stored by our authentication provider and is never visible to us.
Project & bid information. When using MyLevelBid, you may upload or generate bid packages, subcontractor proposals, project specifications, pricing information, scope documentation, and supporting project files. These are the heart of the service and are treated as your confidential business data.
Usage information. We may automatically collect information about how you use the platform — login activity, browser and device information, IP address, session information, feature usage, and performance and diagnostic data. What we collect here depends on the analytics choice you make, described below.
Integration data. If you connect Procore, we store the authorization tokens needed to import your project list. We never see your Procore password.
How we use your information
We use your information to:
- Provide and maintain the MyLevelBid platform
- Process and organize the bid documents you upload, at your request
- Deliver Construction IQ Intelligence and bid comparisons
- Improve platform performance and functionality
- Respond to customer support requests
- Communicate product updates and service notifications
- Maintain platform security
- Meet legal and regulatory obligations
We do not sell your personal information or customer project data, and we do not use your documents — nor do our service providers — to train machine-learning models.
Customer data ownership
Your bid packages, project documents, and uploaded information remain your property. MyLevelBid processes customer data solely to deliver the services you request. We do not use confidential customer bid information to compete with our customers, and we do not disclose proprietary project information to third parties except as required to provide our services or comply with applicable law.
Analytics and your choice
When you first visit, we ask how you’d like analytics handled. Both options help us improve the product; they differ only in whether we can recognize you across visits.
Reject non-essential. Analytics run anonymously. Nothing is stored on your device for tracking, no identity is attached to events, and each visit starts fresh.
Accept all. We store an identifier on your device so your sessions connect across visits, and events are linked to your account and company.
Either way, analytics events never include the contents of your documents, bid amounts, or subcontractor names. Your choice is remembered on your device and can be changed any time in Settings → Account → Analytics preferences. For more detail, see our Cookie Policy.
Sharing within your company
MyLevelBid is a team product. Projects, bid packages, documents, comparisons, and shared notes are visible to the members of your company workspace according to their roles. Private notes are visible only to their author. Company owners and admins manage who is on the team.
Data sharing & third parties
We use a small number of service providers to run MyLevelBid, each contractually required to safeguard customer information and to process data only on our behalf. These include providers of cloud hosting and infrastructure, data storage, authentication, document analysis, customer support, payment processing, analytics (per your consent choice), security monitoring, and email communications — and Procore, only if you connect that integration. We may also disclose information where required by law or to protect our legal rights. A current list of providers is available on request at privacy@mylevelbid.com.
Data security
Protecting customer information is fundamental to our business. Data is encrypted in transit and at rest, access to production systems is restricted, and every request to your data is checked against your company membership on the server. We also use secure cloud infrastructure, authentication safeguards, regular security monitoring, and backup and disaster-recovery procedures. No system can guarantee absolute security, but if we ever become aware of a breach affecting your data, we will notify you promptly.
Data retention
We keep your project, bid, and account records for as long as your account is active. Uploaded document files are retained for up to twelve months from the date they are uploaded, after which they are automatically deleted from storage. When you delete a project, bid package, or submission, the associated records are removed and the underlying document files are deleted at the same time; any residual copies are purged within twelve months. To delete your account and company data entirely, contact us at privacy@mylevelbid.com and we’ll complete the deletion within 30 days, subject to any legal or contractual retention requirements.
Your privacy rights
Depending on your location and applicable law, you may have rights to:
- Access your personal information
- Correct inaccurate information
- Request deletion of your information
- Request a copy of your data
- Object to certain processing activities
- Withdraw consent where applicable
You can access and update your account and company information in Settings. To make any other request, email privacy@mylevelbid.com. We honor reasonable requests regardless of jurisdiction and respond in accordance with applicable law.
International data transfers
MyLevelBid currently processes and stores customer data in the United States. If we process information using cloud infrastructure in other jurisdictions in the future, we will implement appropriate safeguards to protect personal information during international transfers where required.
Children’s privacy
MyLevelBid is intended for business users and is not directed toward individuals under the age of 18. We do not knowingly collect personal information from children.
Changes to this Privacy Policy
We may update this Privacy Policy periodically to reflect changes in our services, technology, legal requirements, or business practices. When material changes are made, we will update the effective date and notify active accounts by email or an in-app notice before the changes take effect. See also our Terms of Service.
